What's the Best Approach for Enterprise IMAP Mailbox Migration to Microsoft 365?
Our organization is planning a company-wide move to Microsoft 365, and one of the biggest challenges is migrating several hundred IMAP mailboxes from different providers. We currently have employees using Gmail, Zoho Mail, Yahoo Mail, and a few private IMAP servers. Since these mailboxes contain years of customer conversations, financial records, and project communications, preserving every email, folder, attachment, and timestamp is essential. We also want to minimize downtime because users will continue working throughout the migration process.
After evaluating different options, I'm trying to identify the safest way to migrate IMAP to Office 365. Native methods seem suitable for small migrations, but handling hundreds of mailboxes manually isn't realistic for our environment. Our requirements include CSV-based batch migration, secure authentication, mailbox preview, incremental synchronization, duplicate removal, selective filtering, and detailed reporting. Another important objective is validating every migrated mailbox before asking employees to switch permanently to Microsoft 365. We're planning a pilot migration first so we can evaluate performance, mailbox mapping, and authentication before rolling the migration out across the organization.

Some appear to offer automation that could significantly reduce manual effort, especially when dealing with multiple departments and large mailbox volumes. Our management team also wants proper documentation showing successful migration results for every mailbox before decommissioning the old email systems.

The best method for IMAP mailbox migration to Microsoft 365 would be to migrate the mailboxes in small batches and check the migration of each batch before continuing with the next batch. This way, there will be a lower chance of missing emails, issues with the folder structure, or problems with accessing emails during migration.
While migrating IMAP user accounts to Microsoft 365, I adopted the same method and began with migrating just a few accounts, verified the email count, folders, and attachments, and then proceeded to the rest of the users.
